How to export and download scheduled callbacks in VICIdial
The Callbacks Export page lets you view and download a list of scheduled callbacks filtered by campaign and date, giving you a snapshot before any destructive bulk move.
Before you run a destructive operation like purging called or uncalled records from the callbacks table, it is good practice to capture a snapshot of what you are about to change. VICIdial provides a dedicated page for exactly this purpose: Callbacks Export. It lets you view the full list of Scheduled callback records for your chosen campaigns, filtered by the dates those callbacks are scheduled to be contacted, and download that list as a file. Whether you need it for compliance records, for a backup before a bulk cleanup, or to hand to a supervisor for a capacity review, this page is the right starting point and takes only a few clicks.
What the page shows you
Callbacks Export is organized around two primary inputs: which campaigns to include, and which scheduled callback dates to include. You select one or more Campaign from the list, then choose the date range corresponding to when those callbacks are scheduled to be contacted. The page then presents the matching records so you can review counts and spot anything unexpected before downloading. Each row in the export represents a Lead with an active callback appointment and includes the phone number, current Disposition, scheduled date, and the associated campaign and list details. The export is a point-in-time snapshot — it reflects whatever is in the callbacks table at the moment you generate it, so timing matters if your dialing team is actively working the queue while you run the export.

- Navigate to Admin > Callbacks Export.
- Select the campaigns whose callbacks you want. You can select multiple campaigns if you need a cross-campaign view.
- Set the scheduled callback dates. If you are auditing overdue or stale callbacks, extend the date range backward to capture past-due scheduled dates.
- Review the record count shown on screen before downloading. If it looks unexpectedly high or low, refine your date range or campaign selection before proceeding.
- Download the file and store it in a secure location before proceeding with any purge or bulk move operation.
When and why to export before a bulk move
The export page is most valuable as a pre-flight check before running Callbacks Bulk Move with a purge option enabled. Both the "Purge called records" and "Purge uncalled records" options delete rows from the callbacks table permanently. Once either purge runs, there is no undo inside VICIdial — recovering purged data requires restoring from a database backup, which is time-consuming and disruptive. Downloading an export first means you have a file you can use to reconstruct records if something was removed in error. It also gives your compliance or quality assurance team a paper trail confirming which Lead list records were in scope and what their status was on a given date, which can matter during audits or regulatory reviews.
A secondary use is routine reporting independent of any bulk move. If your team tracks Callback queue volume by campaign and scheduled date, the export gives you a clean snapshot without needing direct database access or a custom SQL query. You can pull it at the start of each week, compare counts across periods, and flag unusual drops or spikes that warrant investigation. The Real-time report in VICIdial shows live queue counts, but an export gives you a durable file you can archive, share with a manager, or load into a spreadsheet for trend analysis. Neither the real-time report nor the agent-facing callback list gives you a downloadable historical record the way this page does.
