How to combine multiple lists into a single list

When you have several small Lead list entries that you want to work as a single unit, the List Merge utility is the right tool. It moves all lead records from multiple source lists into one destination list, giving you a single consolidated Lead pool to manage, assign to campaigns, or run bulk operations against. Here is how to run it correctly.

Before you run the merge

Decide on your destination list before you open the tool. You can merge into an existing list or create a new list first and then merge into it. Using an existing list means any leads already in that list will remain alongside the incoming records — so make sure that is intentional. If you want a clean merge into an empty container, create a new list first via the Lists page, note the new list ID, then come back to List Merge.

Also note the total lead count across all the lists you plan to merge. You will use that number to verify the result after the merge runs.

Step by step

  1. Open the List Merge utility from the admin panel.
  2. Select the source lists — these are the lists whose records you want to move. You can select multiple lists at once.
  3. Enter or confirm the destination list ID. This is the list that will receive all records from the selected source lists.
  4. Submit the form. VICIdial will move all lead records from the source lists into the destination list.
  5. Verify the count on the destination list. The lead count shown on the destination list should equal the sum of all leads from the source lists you selected, plus any leads that were already in the destination list before the merge.
  6. Check the source lists. They should now show zero records. If any source list still shows leads, the merge may not have completed fully.
  7. Remove the now-empty source lists from any active Campaign List mix configurations. An empty list in a campaign's rotation does no harm, but it creates confusion in reporting.

What carries over and what does not

Every lead-level attribute moves with the record: call history, current Status (lead status), custom field values, Vendor lead code, and Lead owner. The records arrive in the destination list exactly as they were in the source lists. What does not carry over automatically is any list-level configuration from the source lists — caller ID settings, timezone rules, or other list-level fields. The destination list uses its own list settings for all of those. Review the destination list's configuration before activating it in a campaign to make sure the settings are what you intend.

If you are merging as part of a cleanup after a split, also check whether any of the source lists still have their own Hopper entries or Scheduled callback records tied to them. Those do not automatically transfer to the destination list.

After the merge: next steps

Once the merge is confirmed, update your campaign's list rotation. Open the campaign in the admin panel and remove the old source list IDs from the active list assignments. Add the destination list if it is not already there. This ensures the dialer pulls from the merged list going forward and does not waste cycles checking empty source lists.

You may also want to review the destination list's caller ID and timezone settings. If the source lists had different caller IDs assigned, those are per-list settings and do not merge automatically — the destination list uses only its own configuration. Check those fields before activating the merged list in the campaign.
