No long contracts: month-to-month VICIdial hosting

VICIfast is billed month-to-month by default. You pay at the start of each billing period and can cancel before the next one starts. There is no annual contract required, no cancellation fee, and no notice period beyond the current billing month. If your call center needs change, your hosting commitment changes with them.

This post explains what month-to-month means in practice, when annual makes sense, and why the flexibility matters for outbound call centers specifically.

Why flexibility matters for call centers

Outbound Campaign volume is seasonal. A debt collection operation might double its Agent headcount for Q4 and scale back in January. A political campaign runs for months, then ends completely. An agency picks up a new client campaign, runs it for six weeks, and then it is over. In all these cases, locking into a twelve-month contract means paying for capacity you are not using.

Traditional managed VICIdial providers, and SaaS dialers in general, often use annual contracts as a way to reduce churn. That works in their favor, not yours. Month-to-month means the provider has to keep you because the product works, not because you are locked in.

How the billing cycle works

flowchart TD
  A[Subscribe and pay month 1] --> B[Dialer active for billing period]
  B --> C{Keep going?}
  C -- Yes --> D[Auto-renews at period end]
  D --> B
  C -- No --> E[Cancel before period ends]
  E --> F[Dialer stays active until period end]
  F --> G[Server terminated after period]

When you sign up, you pay for the first billing period upfront. At the end of the period, the subscription auto-renews and you are charged for the next month. If you cancel, you do so through the self-serve billing portal, and the dialer stays up for the remainder of the period you already paid for. When that period ends, the server is terminated and the subscription closes.

There is no partial refund for canceling mid-month. The billing period is the atomic unit — once it starts, it runs to completion. Plan cancellations accordingly: cancel before the renewal date if you do not want to pay for another month.

When annual billing makes sense

Annual billing is available on all plans and saves roughly two months of fees compared to twelve months of monthly payments. If your operation is stable — a permanent call center floor that runs year-round — annual is worth considering purely on the cost math. You pay once a year rather than every month, and the savings accumulate.

The trade-off is that the annual fee is not refundable if you cancel mid-year (except in the case of a Provisioning failure within the first hour, which triggers an automatic refund). If there is any chance you will need to shut down the operation before the year is up, month-to-month is the safer choice even at the higher per-month cost.

Flexibility for agencies

Agencies that spin up a separate single-tenant VPS for each client find month-to-month particularly useful. Each client campaign gets its own dialer on its own Branded subdomain, billed independently. When a client relationship ends, that server is cancelled on its own without affecting other clients. You are not locked into an annual contract for a client who left after three months.

Single tenant servers mean each client's Call recording data stays isolated on their own box. Canceling one client's server does not affect any other.

Managing your subscription

Billing is self-serve. The VICIfast billing portal (Stripe Customer Portal under the hood) lets you update your payment method, download invoices, switch between monthly and annual billing, and cancel — all without contacting support. You can also resize your plan tier from the dashboard if your agent count changes, which adjusts the next billing period.
