Managing billing in the VICIfast portal
VICIfast gives you a self-serve billing portal to update your payment method, download invoices, and change plans without contacting support. Here is what you can do and how it works.
VICIfast includes a self-serve billing portal where you can update your payment method, view and download invoices, and change your plan without opening a support ticket. It is built on top of Stripe Customer Portal, so the same payment-grade security applies to every action you take there.
Most Managed hosting platforms make you email or call to change almost anything about your account. VICIfast puts those controls in your hands so you can act immediately when your needs change.
What you can do in the portal
- Update your credit or debit card, or add a new payment method, without waiting for support.
- Download PDF invoices for any billing period, useful for accountants and expense reports.
- Switch between monthly and annual billing, or move to a different plan tier when your Agent count changes.
- Cancel your subscription if needed. VICIfast is month-to-month with no long contracts, so cancellation takes effect at the end of the current billing period.
How it flows
The portal is accessible from your VICIfast dashboard under Account settings. Clicking "Manage billing" redirects you to a Stripe-hosted page that is scoped to your account only. No one else can see your invoices or payment details.

C --> G[Cancel subscription]Stripe handles the card tokenization and authentication. VICIfast never stores raw card numbers; instead, Stripe stores a token and sends VICIfast a webhook when a payment succeeds or fails. If a payment fails, you will receive an email and can update your card in the portal before the grace period expires.
What happens when a payment fails
VICIfast uses a standard Service level agreement (SLA)-aware dunning sequence. After an initial failed charge, you get an email with a direct link to the billing portal to update your payment method. If the card is not updated within the grace window, the server moves to a suspended state. Your data stays on the box during suspension; it is not deleted. Once payment is resolved, the server resumes automatically.
Changing plans
Plan changes apply immediately or at the start of the next billing cycle, depending on whether you are upgrading or downgrading. When you upgrade to a higher Agent tier, VICIfast can also resize the underlying VPS to match the larger plan's CPU and RAM allocation. When you downgrade, the server stays at its current size until the next renewal date unless you also submit a resize request.
Annual billing and cost considerations
VICIfast is month-to-month by default, which means you can cancel at any point without a penalty. If you commit to annual billing, you save roughly two months' cost compared to paying month-to-month. You can switch between billing intervals from the portal at any time; the change takes effect at the next renewal. This makes it practical to run a high-volume Campaign season on a higher plan and then downgrade once the campaign ends, all without talking to anyone.
What the portal does not cover
The billing portal handles subscription and payment management. It does not control Provisioning actions like requesting a server resize, enabling scheduled snapshots, or managing the server's Status (lead status). Those actions live in the main VICIfast dashboard on the server detail page. Think of the billing portal as the financial side and the dashboard as the operational side.
If you need to dispute a charge or request a refund for a provisioning failure within the first hour of payment, contact VICIfast support directly. The portal cannot issue refunds on its own, as that is handled by the support team against the single documented refund policy.
