How to copy a VICIdial user to create a new one

When you are onboarding a new Agent who should have the exact same setup as the rest of the team, building the account field by field is a waste of time. VICIdial has a Copy A User screen that clones every setting from an existing account into a brand new one. This post shows how it works and when to reach for it.

Open the Copy A User screen

From the Users section in the admin interface, click the COPY A USER link at the top, near the ADD A NEW USER and SEARCH FOR A USER links. The copy form is short on purpose — it asks only for the values that have to be unique, then pulls everything else from the source account you point it at.

What Copy A User does

The Copy A User page takes all of an existing account's settings and stamps them onto a new account. That means the User Level, the User group, the agent interface options, recording and transfer permissions, the selected Ingroup checkboxes, campaign ranks, and every other tuned field carry straight over. The source account acts as a template, and you only provide the few things that must be unique to the new person:

  • A new user ID (User Number) — unique, 2 to 20 characters, no leading zero.
  • A password for the new account.
  • A full name for the new person.
  • A source user — the existing account to copy all the other settings from.

When copying beats adding from scratch

Copying is the right move whenever a new account should match an existing template. Hiring a second Closer who works the same Ingroup set, adding a fifth agent to a team that already shares one configuration, or spinning up a test account that mirrors a real one — all of these are faster as a copy. Because the Campaign permissions follow the group, and the group comes along in the copy, the new account is usually ready to log in immediately.

Two things to remember. First, the source account is a snapshot — future changes to the source do not propagate to the copy, so this is cloning, not linking. If you later change the template account's permissions, you will have to apply that change to each copy by hand. Second, always review the new record after copying. If the source had a per-account override you do not want duplicated, or you need a different User Level, adjust it before the new person logs in. A live Agent session reads these settings only at login, so set them right the first time.

Watch out for a couple of values that should almost never be shared. A default Phone Login or Phone Pass baked into the source account will copy across, so clear those on the new record unless the new person genuinely sits at the same physical phone. The same goes for any per-user Lead Filter or report-redirect URL that was specific to the original person. Everything else — the broad permission set that makes a team member look like the rest of the team — is exactly what you want copied.
