A practical starting checklist for managing VICIdial lists: naming, campaign assignment, resets, expiration, and the stats that tell you when a list is spent.

VICIdial List Management Best Practices for New Operators

If you are new to running a dialer, lists are where most early mistakes happen. A list is just a bucket of leads tied to a campaign, but how you name, assign, reset, and retire those buckets decides whether your campaign runs clean or turns into a tangle of double-dialed numbers and dead records.

None of this is hard. It is mostly a set of small, boring habits that keep you out of trouble later. Here is the checklist I give every operator on their first week.

Name and number lists so future-you understands them

A list needs a numeric List ID between 3 and 8 digits, greater than 99, and it cannot start with a zero. You cannot change a List ID once it is created, so pick a scheme up front. A common pattern is to encode the source and month, for example 202601 for January's web leads. The List Name is a short label between 2 and 20 characters, so use it to say what the leads actually are, not just "new list 5."

One campaign at a time

A list can only be dialed on a single Campaign at any moment. If you move a list to a different campaign, VICIdial clears its current entries from the queue so the same person does not get called from two campaigns at once. That is a safety feature, not a bug. Plan your assignments instead of shuffling lists around mid-shift.

Changing a list's campaign removes its leads from the dialing queue immediately. Do reassignments between shifts, not while agents are live, so you do not yank leads out from under active calls.

Reset on purpose, not by reflex

After you call through a list once, the leads will not be called again until you reset the list. A reset sets every lead back to N for not-called-since-last-reset. You can do this by hand or schedule it with Reset Times in 24-hour format, for example 0800-1700 to reset at 8 AM and 5 PM daily.

Resetting too often re-dials people who already said no recently; resetting too rarely lets warm leads go cold. Decide a cadence that fits your offer and stick to it. The full walkthrough is in resetting lead called status.

Set an expiration date and read the stats

Every list has an Expiration Date, defaulting to December 31st, 2099. Set a real date on time-sensitive lists so old leads stop dialing on their own once the offer is gone. A list past its expiration shows a red EXP in the lists table and will not dial.

The list modification page shows several stat tables. Watch two numbers: Dialable (leads not yet flagged unworkable or completed) and Penetration (the share of leads called up to your campaign's call-count target or finished by a DNC, not-interested, unworkable, or completed Disposition). Follow that loop and your lists stay predictable. Two more habits worth building early: dedupe leads as you load them so the same number does not enter twice, and keep your DNC scrubbing on. Both happen at load time. For the whole system, start with the lists and leads guide.
