How to assign one in-group to a whole user group at once

Assigning an inbound group to agents one at a time is tedious when you have a full team. VICIdial has a faster path: from the user-group screen you can add or remove one Ingroup for every active agent in the group at once. Since a user group is the admin entity that bundles agents, this turns a dozen edits into a single action.

Why in-groups matter here

An in-group is the inbound queue that routes calls to agents who are signed up for it. An Agent only receives calls from a queue they are a member of, so when you launch a new inbound campaign you have to add that queue to everyone who should take its calls. Doing this per-agent across a team is exactly the kind of repetitive work that invites mistakes.

Where the bulk control lives

Open the group on the Modify User Group screen and scroll to the section labelled Add Or Remove In-Group Selected For Active Users In This User Group. It sits just below the list of users in the group. You pick an in-group, choose whether to add or remove it, and apply, and the change hits every active member in one pass.

Note the word active. The action targets active agents in the group, so an agent who is set inactive will not be swept in. If you reactivate someone later, double-check their in-group membership.

Step by step

  1. Open the user group on the Modify User Group screen.
  2. Find the Add Or Remove In-Group section below the user list.
  3. Select the in-group and choose add or remove.
  4. Apply the change so it lands on every active agent in the group.

A common use case

Picture launching a new support line. You build the in-group, set its routing, and now twelve agents need to be members. Without the bulk control you would open each agent record, scroll to their in-group list, tick the new queue, and save, twelve times over. With the bulk control you do it once from the group screen and every active member is signed up in seconds. The same applies in reverse: when a campaign winds down, remove its in-group from the whole group in a single pass so stale queues do not linger on agent screens.

When to still go per-agent

The bulk action is all-or-nothing for the group, so use it when the whole team should share a queue. If only some agents should take a particular Skills-based routing queue, edit those individuals on the user or in-group screen instead. You can also mix the two: bulk-assign the common queues to the group, then fine-tune the specialists by hand.

It also helps to keep your groups aligned with how you assign queues. If a single group contains agents who should be on very different in-groups, the bulk control becomes less useful, because you end up adding a queue and then removing it from half the team. When that happens it is usually a sign the group should be split into two so each one maps cleanly to a set of queues.
