Owner Only Dialing makes each agent see only the leads they own — by user, territory, or group. Great for account books and warm follow-ups, with a couple of prerequisites.

Some call centers run on relationships, not cold lists. The same rep should always call the same accounts, because they know the history. Owner Only Dialing is the VICIdial setting that enforces that: agents only see leads they own. Here is how it works and what you need in place first.

The three ownership modes

When enabled, an Agent only receives leads they fall within the ownership rules for. You choose how ownership is matched:

  • USER — the agent must be the exact user listed as the lead's owner.
  • TERRITORY — the lead's owner must match a territory assigned to the agent.
  • USER_GROUP — the lead's owner must match the user group the agent belongs to.

The default is NONE, meaning the feature is off. So USER is best for true one-to-one account books, TERRITORY suits geography- or region-based teams, and USER_GROUP works when a whole User group shares a pool.

The prerequisites

Two things must be true for this to work. The dial method has to be MANUAL or INBOUND_MAN, and No Hopper Dialing must be turned on. That is because owner-based routing does not go through the normal Hopper fill — it looks up leads by owner instead. If the setting seems to do nothing, check these two first; a forgotten prerequisite is the usual culprit.

The BLANK fallback

Each mode has a variant ending in BLANK. With that on, agents can dial leads that have no owner set, in addition to the ones they own. This is handy when you have a mix of assigned accounts and fresh, unassigned leads — reps work their own book and can still pick up the unclaimed ones. Pair it with Owner Populate, which stamps the Lead owner field with whoever handles a blank-owner Lead first, so new leads gradually get assigned as they are worked.

Picking the right mode for your team

Match the mode to how you actually divide work. USER is for true one-to-one relationships, where a named rep owns each account and nobody else should touch it — think renewals or high-touch accounts. TERRITORY suits teams split by region or postal area, where any rep covering the area can work the lead. USER_GROUP is the loosest of the three: a whole team shares the pool, so coverage stays up even when one person is out. If you find yourself fighting the tool to make leads visible, you have probably picked a tighter mode than your workflow needs.

Reassigning and territories

For USER-based ownership, there is a manager utility on the admin server that lets you move leads from one rep to another when someone leaves or a book gets rebalanced. And if you use TERRITORY mode, you can let agents pick which territories to dial at login, so a rep covering several regions can focus on one at a time. That option needs Owner Only Dialing set to TERRITORY and user territories switched on in system settings. Plan for churn from day one — having a clean way to hand a departing rep's accounts to someone else is the difference between a tidy book and a pile of unreachable leads.
