VICIdial's bulk lead tools refuse to run on a list over 100,000 leads. Here is why the cap exists and how to split a big list to work around it.

What the 100,000-Lead Limit on Lead Management Tools Means

Try to bulk-edit a giant Lead list and VICIdial stops you: the list has to hold fewer than 100,000 leads before the management tools will run. It's a guardrail, not a bug. One operation across hundreds of thousands of rows can grind a busy dialer to a halt, so the system simply declines until the list is small enough to handle safely.

Why there's a cap at all

Bulk move, delete, and status updates each run as a single database operation. On VICIdial's lead tables that means a long-running write that can lock rows while it works. If the dialer is also reading from those tables to feed the hopper, a six-figure bulk job can block live calls, delay Status (lead status) writes, and spike load right when agents need the system most. The cap keeps any one action small enough to finish before it does damage.

It pairs with the rule that the list must be inactive first - together they make sure a bulk edit can't disrupt a campaign that's calling. We cover that companion rule in why a list must be inactive.

How to work past the limit

If a list has grown past 100,000 Lead records, you don't have to give up on bulk editing it. Use the List Split utility, which lives in the same admin family, to break one oversized list into several smaller ones of a size you choose. Then run your bulk tools on each piece. When you're done, the List Merge utility recombines them into a single list again if you want one. Split and merge are the standard pair for getting an oversized list under the cap without losing any data.

A sign your lists are too big anyway

Hitting the cap is often a hint that your data hygiene needs attention. A few habits keep lists in a workable size range:

  • Split incoming data by Lead source when you load it, instead of dumping everything into one list.
  • Periodically delete or archive worked-out leads with high called counts rather than letting a list balloon.
  • Keep a separate list per Campaign so each one stays small and easy to edit.

Smaller lists also make your reporting cleaner - it's far easier to read performance per source or per campaign when each lives in its own list rather than blended into one giant pool. When a single list keeps creeping back over the cap, that's usually a sign the list is doing the job of three or four, and splitting it permanently will serve you better than fighting the limit every time you need to edit.

One more thing worth knowing: the cap is a count of leads in the list, not a count of the rows your filter matches. So even if you only mean to delete a few thousand records, an oversized list still blocks the tool until you bring its total under 100,000. Split first, then filter inside the smaller pieces.
