VICIdial is free to download, but free is not the same as cheap. We compare the real cost of self-hosting against a managed fee.

Free self-hosted vs paid managed: the cost trade-off

Free self-hosted versus paid managed comes down to one question: is your time worth more than a flat monthly fee? The VICIdial software is free either way; what differs is who absorbs the labor of running it safely.

Our pillar on what VICIdial really costs sets up the server-plus-carrier-plus-labor model. This post compares two ways to pay for that labor, and the answer is not the same for everyone.

Free means free to download

VICIdial is open-source Asterisk-based software you can download at no charge. Asterisk is the VoIP engine underneath, where VoIP is voice over the internet. So the license is genuinely zero, which we cover in is VICIdial free. But the download is the start of the work, not the end of it. Someone still has to install it, harden it, and keep it running.

What self-hosting actually costs

Self-hosting means you rent the VPS, the virtual private server, and do the rest. That rest is a long list: firewall rules, SSL certificates, OS patching, database tuning, Server snapshot backups so you can restore after a failure, and ongoing monitoring. A Server snapshot is a point-in-time image of the whole box. Each item is an hour of skilled time, and they recur. The hidden cost is exactly this maintenance, detailed in the hidden cost of self-hosted VICIdial.

What managed folds in

Managed hosting means a provider runs the box for you. We charge a flat fee per server, not per agent, and that one number folds in the server, OS patching, backups, firewall, and SSL. We provision a dedicated Single tenant server, meaning your dialer is the only tenant on it, and install secured VICIdial on a Branded subdomain in under 40 seconds. The labor line in your spreadsheet becomes one predictable number instead of an open-ended commitment of engineer hours.

The honest comparison

If you have a competent VICIdial sysadmin already on payroll with spare hours, self-hosting can be cheaper on paper. If you do not, the managed fee usually wins once you price the labor honestly, including the nights a box goes down. The decision is not free-versus-paid; it is paid-in-cash versus paid-in-time. We break the raw numbers down in VICIdial hosting cost.

The trap is pricing self-hosting at the VPS rental alone and calling the labor zero. An unpatched, internet-facing dialer is a fraud target. The labor is not optional; it is the part that keeps you out of trouble.

A middle path with BYOI

If you already own a server but not the expertise, BYOI (bring your own infrastructure) lets us install and manage VICIdial on your existing box. BYOI (bring your own infrastructure) means bring your own infrastructure: your hardware, our management. You keep the server you paid for and still hand off patching and backups. Both carrier minutes stay yours to buy directly in every case, because we never mark up minutes.

Run the numbers for your situation

Add up your engineer's hourly rate times the hours a month VICIdial upkeep really takes, then set that beside a flat managed fee. Whichever is smaller is your answer. For our current flat figures to drop into that comparison, see our pricing page.

Free software, paid running. Decide which currency you would rather spend.
