How to let agents pick their language in VICIdial

Once you have built one or more Languages, the next question is how people actually get them. VICIdial gives you a few ways to assign a Language, including letting an Agent choose their own at login. That is great for mixed-language floors where one person wants Spanish phrasing and the next prefers English. Here is where a Language can be set and how to put the choice in the agents' hands.

Where a language can be changed

A user's selected Language can be changed in a few places. On the admin side, there is a link at the top of the page that switches the current Language, and you can also set it per user from the User Modify page. On the agent side, you can give agents the option to choose the Language they want when they log in. So you can centrally assign a Language, or delegate the choice, depending on how your team is run. This assignment layer is part of the wider setup covered in the agent screen configuration guide.

  A[Need to set a user language] --> B{Who chooses}
  B -->|Admin sets it| C[Use top of page link]
  B -->|Admin sets per user| D[Use User Modify page]
  B -->|Agent chooses| E[Enable choice at agent login]
  C --> F[Language applies on next session]
  D --> F
  E --> F

The diagram lays out the three paths: the admin top-of-page link, the per-user setting on User Modify, and the agent's own choice at login. All of them land at the same place, with the Language applying for that session.

Choice or assignment

Deciding between letting agents choose and assigning a Language for them mostly comes down to how uniform your floor is. If you run a mixed-language team where people genuinely prefer different wording, the login choice is the friendliest option, since each person lands on the screen that suits them without an admin touching anything. If instead you want a whole group locked to one consistent set of phrases, set it per user on the User Modify page and leave the login choice off, so nobody can accidentally switch into a Language you did not intend. You can mix both approaches across different teams, because the Language is resolved per user at the start of their session rather than baked into the system globally.

Enabling the login choice

To let agents pick at login, the Languages they should be able to choose must be active. Active defaults to N, and only Languages set to Y are available for agents and users, so an option that never appears is almost always an inactive Language. Once active, the agent makes their selection as they log in, and the screen loads with those phrases for the rest of the Agent session. If you would rather lock everyone in a group to one Language instead of offering a choice, set it from User Modify and skip the login option.

Common gotcha

The usual snag is an empty or inactive Language. If a Language has no populated phrases, choosing it changes nothing visible, and if Active is N it will not show as an option at all. Confirm both before you announce the choice to your floor. It also helps to scope Languages to the right User group so agents are not offered Languages that do not apply to them. If you have not built the Language yet, get the Active flag habit down first; it works just like the VICIdial script Active flag, and then come back to assign it.

Letting agents pick their own language is a small kindness that pays off in comfort and speed. If you want a hosted VICIdial that makes multilingual floors painless, take a look at VICIfast pricing.
