How to delete a VICIdial user group

Deleting a VICIdial user group is deliberately a two-step action, because a user group is the admin entity that bundles agents and ties them to login rules. Wipe one out without thinking and you can orphan agent records or break logins for a whole team. This post covers the safe way to do it and what to clean up first.

Check before you delete

Open the group on the Modify User Group screen and look at the Users Within This User Group list near the bottom. It shows the ID, full name, level, and active Status (lead status) of every Agent assigned to the group. If anyone is still in it, reassign them to another group first. An agent whose group disappears can end up unable to log in, which is exactly the kind of surprise you do not want during a shift.

Also confirm the group is not referenced elsewhere. Other settings, such as which teams appear in a colleague's agent sidebar or which group a Campaign points at, may name this group. Cleaning those references up beforehand keeps your reports tidy and avoids pointers to a group that no longer exists.

A short pre-delete checklist saves a lot of grief:

  • No active agents left in the group. Move them, do not just deactivate them.
  • No campaign, in-group, or viewable-groups setting still pointing at this group.
  • You actually mean delete, not just empty. An empty group sitting idle costs nothing and keeps historical reports readable.

The two-step delete

When the delete feature is enabled for your account, scroll to the bottom of the modify page and you will see a DELETE THIS USER GROUP link. The steps are:

  1. Click the first DELETE THIS USER GROUP link at the bottom of the modify screen.
  2. The page reloads with a confirmation link at the top. Click the second DELETE THIS USER GROUP link to finish.

The second click is the point of no return. There is no undo, so this is your last chance to back out by simply navigating away instead of clicking again.

The deletion path as a state flow

stateDiagram-v2
  [*] --> GroupExists
  GroupExists --> Reassign: members present
  Reassign --> GroupExists: agents moved
  GroupExists --> Pending: click first delete
  Pending --> GroupExists: navigate away
  Pending --> Deleted: click second delete
  Deleted --> [*]

No delete link usually means the feature is disabled or your account lacks the permission to remove groups. Deletion is a high-impact action, so it is often locked down to senior managers. The user permission matrix explains how those rights are granted, and the same two-step caution applies when you delete a VICIdial user.

One more thing to weigh: do you need to delete at all? On most boxes there is no penalty for leaving an unused group in place, and keeping it means old reports that reference it still read cleanly. Deleting is the right call when a group ID is confusing, was created by mistake, or you are tidying up a client that has fully offboarded. If it is simply idle, emptying it is often the calmer choice.

For the broader picture of how groups, users, and login Status (lead status) fit together, read the users and groups guide. And if you want a managed dialer where these admin screens are ready out of the box in under 40 seconds, see our pricing page.
