The per-agent cost of running VICIdial is not a fixed number — it is a formula: total monthly spend divided by the number of active Agents on that server. Because most of the cost (the server, the managed hosting fee, the maintenance labor) is fixed regardless of headcount, adding more agents to the same box drives that per-agent number down. Understanding this dynamic helps you plan capacity and evaluate whether your current setup is cost-efficient.

The per-agent formula
Start with your total monthly cost: server (or managed hosting fee) plus any shared labor cost like a sysadmin retainer. Divide that by the number of agents logged in and working during a typical month. That quotient is your per-agent infrastructure cost. Add variable costs per agent — SIP trunk minutes consumed per agent — and you have the full per-agent number.
The server cost is fixed. Whether five or fifty agents log in, the monthly server bill is the same. That means the fixed cost is amortized across however many agents are active: ten agents on a server that costs $100 a month means $10 per agent in infrastructure. Twenty agents on that same server — if it can handle the load — means $5 per agent. The variable piece, carrier minutes per agent, stays roughly flat because it scales with usage.

Infrastructure cost per agent is only half the picture. The other half is Revenue per agent: how much revenue each agent generates per month. That number is driven by Agent utilization — the percentage of time an agent is actively on a call versus idle or in wrap-up — and by close rate and average deal value.
