Estimating your carrier (per-minute) cost

Carrier minutes are the variable line in any VICIdial budget. Here is how to estimate them from agents, dialing ratio, and per-minute rate.

Estimating your carrier (per-minute) cost

Your carrier bill is the variable part of a VICIdial budget: the more you dial, the more minutes you buy. It is also the line most people underestimate, because dialing several numbers per agent multiplies minutes faster than a quick mental estimate suggests.

Carrier minutes are one of the three legs of what VICIdial really costs, alongside the server and the labor. This post estimates that one leg in detail.

What you pay your carrier for

A Carrier is the telephony provider that originates your outbound calls and delivers them. You connect to them over a SIP trunk, a SIP-protocol channel that carries voice between your VICIdial box and the carrier's network. They bill two things: per-minute usage on connected calls, typically a fraction of a cent to a few cents, and monthly DID (direct inward dialing) rental, the cost of renting each phone number you dial from. With VICIfast you bring your own carrier and pay them directly, and we never mark up the minutes.

The inputs that drive minutes

  • Agent count and working days per month.
  • Your Dial level, the numbers dialed per available agent under predictive Ratio dialing. A higher ratio means more dials, more minutes, and a higher Drop rate risk (calls answered with no agent free).
  • Answer rate, the share of dials a human or machine picks up, since you generally pay for connected time.
  • Talk minutes per agent per day plus short ring time on each dial.
  • Per-minute rate and DID rentals.

A worked estimate

Take 20 agents averaging 3 hours of talk a day across 21 days. That is roughly 3,800 talk minutes per agent per month, or 76,000 for the team. Predictive dialing also burns short connect and ring segments on unanswered numbers, so pad maybe 15 percent for those, landing near 87,000 billable minutes. At an illustrative 1 cent a minute that is about $870, plus a handful of DIDs at a few dollars each. All hypothetical, to show the method.

Many carriers bill in 6-second increments, some in whole minutes. Per-second or 6/6 billing on a high-volume campaign can shave a real percentage off the total versus full-minute rounding.

Trimming the bill honestly

Two levers move carrier cost without hurting results. First, Least-cost routing, sending each destination over the cheapest carrier that still delivers clean audio, can cut your blended per-minute rate across a mixed campaign. Second, cleaner lead lists raise answer rate so fewer minutes are wasted on dead numbers and answering machines. Both shrink the billable-minutes figure rather than the rate, and minutes are usually where the real fat is.

Pushing Dial level higher buys more contacts but risks a worse Drop rate and regulatory trouble, so that lever has a hard ceiling you cannot dial past safely. Rate alone is not the whole story either: a cheaper carrier with poor audio quality or low answer rates can cost more per connected conversation than a pricier one.
