How to record a voicemail-drop prompt for an outbound campaign
A voicemail drop lets an agent leave a pre-recorded message and move on. Here is how to record that message over the phone with 8168 and wire it into an outbound campaign.
A Voicemail drop — leaving a pre-recorded message on a contact's voicemail with one click instead of speaking it live — saves Agent time on outbound dialing. The agent presses a button, the message plays, and they are instantly free for the next call. The piece you need first is the recording itself, and the fastest way to make it is by phone. Here is the full path from recording to a working drop on an outbound Campaign.
Step 1 — record the message by phone
From any Extension, dial 8168, enter the PIN followed by pound, wait for the beep, speak your voicemail message, and press pound to stop. Then press 1 to save. The system reads back a filename like 85100001 — that ID is what you will attach to the campaign. Keep your message short and natural: a name, a reason for the call, and a callback number is plenty.
Step 2 — attach the prompt to the campaign
With the prompt ID in hand, go to your outbound campaign settings and enter that ID in the field that controls the agent message drop. Once saved, the campaign knows which clip to play when an agent triggers a drop. The agent then sees the drop control on their screen during a call and can fire it the moment they reach a voicemail.
Test the whole chain before you point it at real leads. Dial yourself or a spare line from the campaign, let it go to voicemail, and have an agent press the drop button. You want to confirm three things: the clip actually plays, it plays from the start without clipping, and the agent is released to the next call cleanly afterward. Catching a truncated or wrong-file drop in a test costs you nothing; catching it across a hundred live contacts costs you the morning.
