Inviting your team and roles

Give your team their own VICIfast login with a role — no password sharing. Invite by email, pick Billing, Operator or Viewer, limit server access if you like, and manage or revoke it all from the Team page.

Your team should never share your password. Instead, invite each person by email — they get their own VICIfast login and a role that decides what they can do on your account. You can invite someone to your whole account (this guide) or to a single project (last section). About two minutes per person. Only the account owner can send invites.

Step 1 — Open the Team page

  1. Click Team in the left sidebar (in the Settings group).
  2. You land on the Team page: the Invite teammate card on top, your Members list below it.

Step 2 — Send the invite

  1. In Email, type the person’s email address. The invite is tied to exactly this address.
  2. Pick a Role. The What each role can do box on the page sums them up: Billing — manage wallet top-ups, payment methods & invoices, read-only on servers. Operator — run servers day-to-day: campaigns, lists, users, audios, reboots, no billing access. Viewer — read-only everywhere.
  3. Leave Limit server access unticked if this person should reach all your servers (the usual choice for a trusted teammate). To restrict them, see step 3 first.
  4. Click Send invite.

They receive an email titled "you’re invited" from VICIfast with an Accept invitation button. The link works for 7 days.

Step 3 — Optional: limit what they can touch

Tick Limit server access (tabs / SSH / reboot) before sending, and an access editor opens. Click a preset pill (Operator — manage, no SSH/reboot, or Viewer — read-only) to pre-fill it, or set the boxes yourself:

  • SSH access (console, keys, replay) — the browser SSH console, SSH key management, and session recordings. All-or-nothing.
  • Reboot / restart — soft reboot and restart service. Hard reset, factory reset, and plan changes always stay owner-only.
  • Manage Firewall — view, add, and delete firewall rules and whitelists. Security-critical, so off unless you grant it.
  • Configurations (IPs, backups) — the Configurations dropdown: static IPs and backups of already-provisioned features. Never buys add-ons.
  • Visible server tabs — which tabs the person sees on your server pages (Floor, Today, Reports, Lists, Audios, Campaigns, and so on). Unticked tabs simply don’t appear for them.

Then click Send invite as before. You can save your own combination as a reusable preset with Save current as preset.

Step 4 — What your teammate does

  1. They open the email and click Accept invitation.
  2. New to VICIfast? They are asked to create a free account — the email field is pre-filled and locked to the invited address. Already have an account? They just sign in.
  3. On the confirmation page ("Join your-email’s team"), they click Accept invitation.
  4. They land on the dashboard and work on your servers with the access you set. Nothing to install.

If they sign in with a different email than the one you invited, the page says Wrong account and tells them which address the invite was sent to.

Step 5 — Manage members, resend, revoke

The Members card lists everyone on your account. Your own row is on top, marked Owner. From here you can:

  • Change a role — use the Role dropdown right in the row. It saves the moment you pick.
  • Change server access — click Manage on the row, tick Limit server access to open the same editor as step 3, then Save access.
  • Remove a member — click the trash icon. They lose access immediately; their own login stays theirs.
  • Revoke a pending invite — rows marked Pending have a Revoke button. It kills that email link.

There is no Resend button. To resend, just send a fresh invite to the same email from the Invite teammate card — a new 7-day link goes out.

Inviting someone to a single project

Projects group servers (handy for agencies and whitelabel setups). A project member sees only that project’s servers — nothing else on your account.

  1. Click Projects in the left sidebar, then click the project.
  2. In the Invite a member card, type their email.
  3. Pick a Role — Admin (full access, including SSH and reboot), Operator (manage everything, no SSH/reboot), or Viewer (read-only) — and adjust the same access boxes as in step 3. Project invites always use the access editor.
  4. Click Send invite. Same 7-day email, same acceptance steps as above.

Manage project members on the same page: Manage to change access, Remove to take it away, Revoke on pending invites. Note the Admin role exists only inside projects — account-level team roles are Billing, Operator, and Viewer.

Good to know

  • Only the account owner can invite people, change roles, or remove members. Members can look at the Team page but can’t change anything on it.
  • Invites expire after 7 days. An expired link shows "Invitation expired" — just send a new invite.
  • Inviting the same email twice creates two separate links, and both work. Revoking one row does not cancel the other.
  • Billing powers come only from the Billing role — the access editor can never grant them. Changing plan, cancelling, or deleting a server stays owner-only no matter what you tick.
  • Accepted an invite by mistake, or the person left? Remove them from the Members card — access ends immediately.
  • The Team page also has a Sign-in activity card: every team session with location, plus a force-logout button if a laptop goes missing.
