Why connect Pipedrive to VICIdial?
Teams connect Pipedrive to VICIdial when their pipeline holds more people to call than reps can dial by hand, and they want every call to appear in Pipedrive without retyping it.
Pipedrive is built around deals moving through stages, which suits small and mid-sized sales teams. VICIdial, the open-source predictive dialer, is built around lists: it rings many numbers at once and passes each answered call to a free agent. A VICIdial Pipedrive integration lets each tool do its own job. VICIfast hosts VICIdial for call centers as a managed service, has built Pipedrive integrations before, and prices each one up front. The ideas common to every CRM live on VICIdial CRM integration.
Which Pipedrive records does VICIdial need?
VICIdial needs Pipedrive's persons, because they hold the phone numbers, plus the deals or leads that decide who gets called.
- Persons carry one or more phone numbers, each labelled work, mobile or similar. VICIdial gives every lead a main number plus an alternate and a third number it can try in turn, so the build decides which label goes where.
- Organizations give the agent context on screen; they are rarely dialed on their own.
- Leads in the Leads Inbox are prospects before they become deals, and a common source for follow-up campaigns.
- Deals sit in a pipeline stage, and a stage often makes the best call list: every deal in "proposal sent" that has not moved in a week, for example.
- Activities are calls, meetings and tasks with a due date and a done flag. Call outcomes come back as completed call activities.
- Filters are saved searches, and the plainest way to tell the sync who to dial.
How does a call move between Pipedrive and VICIdial?
A call moves through five steps, from a Pipedrive filter to a logged activity:
- A saved filter or pipeline stage selects the people to call, and the sync loads them into a VICIdial list with their Pipedrive person and deal IDs.
- VICIdial dials, and when someone answers, the agent's browser opens that person or deal in Pipedrive.
- The agent talks, then saves a disposition in VICIdial.
- The integration adds a done call activity with a note. A callback disposition schedules a follow-up activity for the deal owner, and outcomes you pick can move the deal to another stage or mark it lost.
- Pipedrive webhooks report changes made by people inside Pipedrive, so a deal marked won stops being dialed.
Click-to-dial from a Pipedrive record is an optional extra, through VICIdial's agent API, for a rep already signed in to the VICIdial agent screen.
What does VICIdial handle natively, and where does custom work start?
VICIdial handles the calling side natively: dialing, the agent screen, opening a Pipedrive page through the campaign web form, and requesting a URL on each disposition.
Pipedrive record addresses combine your company domain with the person or deal ID, so a web form launched as the call connects can show the right page. The agent screen configuration guide covers web forms and scripts. Custom work starts where Pipedrive's API comes in: authenticating with an API token or an app, translating Pipedrive's custom field keys into readable fields, matching numbers saved in different formats, creating activities, and backing off when Pipedrive asks the sync to slow down.
What does a Pipedrive build cost?
Pipedrive's data model is smaller than Salesforce's, which usually keeps the field map short, and VICIfast's published ranges apply:
| What you want | Kind of build | Published range |
|---|---|---|
| Each VICIdial call logged as a Pipedrive activity | Simple webhook | $1,500-$3,000 |
| Filters or stages synced into VICIdial, outcomes and stage moves back | Two-way sync | $5,000-$12,000 |
| The deal opening on connect, or dialing from Pipedrive | Screen-pop or click-to-dial | Quoted after discovery |
Inside a band, the price moves with how many pipelines and stages react to dispositions, how many custom fields are mapped, persons with several numbers, and whether deals change stage automatically. You get one written price, with no hourly billing, and the build is tested on your side before it goes live. Details are on custom integrations.
Who is this for?
It fits sales teams that live in Pipedrive and have outgrown calling one number at a time, and want to try power or predictive dialing without giving up their pipeline. Agencies running many client accounts usually look at the VICIdial GoHighLevel integration instead.
Where VICIfast is not the right fit
If three reps make a few calls each per day, Pipedrive's own calling options or a marketplace dialer will be cheaper and quicker than a VICIdial build. We do not list an app in the Pipedrive Marketplace, and VICIfast is not affiliated with Pipedrive; this is an integration against Pipedrive's public API.
Where to start
Pick the filter or stage you would dial first and the outcomes you want logged, then book a discovery call. In the meantime, start a free trial: the Setup Wizard builds a campaign, agent logins and browser phones in about five minutes, so you can dial a CSV exported from Pipedrive before anything is built. Servers start at $49 a month on pricing.
