Does VICIdial work with HubSpot?
VICIdial works with HubSpot through an integration that VICIfast builds as a fixed-fee project, and HubSpot is one of the CRMs we have already connected to VICIdial.
HubSpot can place calls itself, one at a time, from a contact record. VICIdial is a different tool: a predictive dialer on Asterisk that rings a whole list across several lines per agent and hands each answered call to the next free person. Teams usually join the two when marketing fills HubSpot with more contacts than reps can ring by hand. VICIfast hosts VICIdial as a managed service, so the dialer, the server and the HubSpot link are looked after by one team. For the ideas behind every CRM build, begin with VICIdial CRM integration.
How do HubSpot's records map to VICIdial?
HubSpot organizes everything around the contact, so a HubSpot VICIdial integration mostly reads contacts and writes call activity back onto them.
| In HubSpot | In VICIdial | Notes |
|---|---|---|
| Contact | A lead in a list | The HubSpot record ID is kept in the vendor lead code field |
| Phone, lifecycle stage, lead status | Lead fields and custom list fields | Mapped once, during the build |
| Company | Context only | Visible through the screen-pop, rarely dialed |
| Deal and pipeline stage | Moved by dispositions you choose | "Appointment set" can push a deal to the next stage |
| Call engagement | Created after every call | Disposition, duration, agent and notes on the timeline |
| Users | Agent logins | Each agent maps to a HubSpot user, so calls are credited correctly |
How do HubSpot contacts get into the dialer?
HubSpot contacts reach VICIdial either on a schedule or the moment something happens in HubSpot.
A scheduled sync reads contacts that match a list or a set of property values, drops any VICIdial already holds, and loads the rest. An event-driven sync suits inbound marketing: if your HubSpot subscription includes workflows that can call a webhook, a fresh form submission reaches VICIdial in moments, and VICIdial's non-agent API can put that lead straight into the hopper so it is dialed next.
Two checks belong on the way in. Contacts should be scrubbed before anyone dials them, and VICIfast offers TCPA scrubbing on the platform for that. And because VICIdial keeps calling hours by each lead's time zone, the sync needs a usable phone number, state and postal code; web forms often skip the postal code, so decide early what happens to a contact without one. The lists and leads guide shows which VICIdial fields matter.
What does VICIdial already do on its own?
Out of the box, VICIdial can open a HubSpot contact for each call and notify another system when the call ends, but it cannot write to HubSpot by itself.
HubSpot record URLs contain your account ID and the contact's ID, so a campaign web form, opened automatically through the Get Call Launch setting, can land on the exact contact whenever the lead carries that ID. The Dispo Call URL fires when the agent saves a disposition. HubSpot's API, though, expects an access token from a private app or an installed app, which a bare URL request cannot send, and it caps how many requests an app makes in a short window. A small service in the middle holds the token, queues and retries the writes, and turns a disposition into the right call engagement, property change or deal move. Every webhook we send is signed with HMAC-SHA256 and carries the call ID, so a retried event never logs the same call twice.
What drives the fixed fee for a HubSpot build?
The fee for a HubSpot build follows how much of HubSpot it touches: contacts and calls only, or deals, companies and several pipelines as well.
- The number of contact properties mapped, and how many of them are custom.
- Whether dispositions move deals, and across how many pipelines.
- Whether each call must be associated with the contact's company and open deals too.
- How many agents and HubSpot users need mapping.
- Your call volume measured against HubSpot's API limits.
The published bands on custom integrations apply. Logging outcomes in HubSpot alone, one event to one endpoint, sits in the $1,500-$3,000 band; contacts in and outcomes out with property mapping sits in the $5,000-$12,000 band; screen-pop and click-to-dial are priced after the discovery call. A typical HubSpot build is tested against a test or sandbox account on your side before go-live, and the 30-day warranty starts the day it goes live.
Where VICIfast is not the right fit
If your reps ring a few contacts a day straight from HubSpot, HubSpot's own calling is simpler and needs no integration at all. We do not publish an app on the HubSpot marketplace, and VICIfast is not affiliated with HubSpot; this is an integration built on HubSpot's public API. Teams on a lighter sales CRM may prefer the VICIdial Pipedrive integration page.
Where to start
List the HubSpot objects you want touched and what an agent should see on screen, then book a discovery call; a written quote follows within 48 hours. To see VICIdial first, start a free trial: a VICIfast server is ready in under 40 seconds, and hosting starts at $49 a month per server, not per seat.
